Stop Manually Emailing Attendees.
Automate Your Event Reminders.
Send “Doors open in 2 hours!” and “Your event is tomorrow!” automatically — without lifting a finger.
Automated event email reminders for WordPress finally solve one of the biggest headaches for event organisers. If you run events with a WordPress plugin, you know the struggle. You’ve set up the seats, sold the tickets, and now you need to remind everyone — manually.
Sending reminders one by one is exhausting. Moreover, it is easy to forget. As a result, attendees miss your event, and you miss out on repeat bookings. Fortunately, there is a better way. The Live Event Seating plugin now handles all of this for you automatically.
The Problem: You Are Doing It Manually
Event organisers manually email attendees about upcoming events. There is no built-in way to send reminders like “Your event is tomorrow!” or “Doors open in 2 hours!” — so it simply does not happen.
Think about that for a moment. You spend weeks planning your event. You sell every seat. Then, on the big day, people show up late — or not at all. Why? Because they forgot. And that is not their fault.
Studies consistently show that timely reminders significantly reduce no-show rates. Furthermore, they build excitement and make attendees feel valued. However, most WordPress event plugins leave this entirely up to you. That means late nights, forgotten emails, and wasted effort.
The Solution: Automated Event Email Reminders for WordPress
The automated event email reminders feature in the Live Event Seating plugin is designed to handle all attendee communication for you. Therefore, you can focus on running a great event instead of copy-pasting emails all day.
The system uses WordPress Cron to scan upcoming events every hour. Consequently, reminders go out at exactly the right time — every time. You set it up once, and it works forever.
Three Reminder Emails That Run on Autopilot
The plugin sends three distinct types of automated emails. Each one serves a specific purpose in your attendee journey. Together, they create a professional, seamless experience that bigger platforms charge hundreds of dollars for.
Pre-Event Reminders
Sent 7 days, 1 day, and 2 hours before the event. Includes venue, time, and QR code reminder.
Post-Event Follow-up
Sent after the event ends. Encourages reviews, feedback, and repeat bookings.
Seat Transfer Alerts
Sent when a seat swap is approved. Confirms new seat details and QR code info.
Pre-Event Reminders: Keep Excitement High
The pre-event reminder system sends emails at three key moments: 7 days before, 1 day before, and 2 hours before your event. Each email includes the event name, date, time, and venue. It also reminds attendees to bring their QR code for check-in.
This three-touch approach is strategic. First, the 7-day reminder helps attendees plan. Next, the 1-day reminder brings it top of mind. Finally, the 2-hour reminder ensures no one shows up late. As a result, your event runs smoothly from the very start.
Post-Event Follow-ups: Build Long-Term Loyalty
After the event ends, the plugin automatically sends a “Thank you for attending!” email. This is a golden opportunity to ask for reviews and encourage repeat bookings. In fact, many event organisers report that this single email significantly increases their return attendee rate.
Seat Transfer Notifications: No Confusion at the Door
When an attendee transfers their seat to someone else, the new holder automatically gets a confirmation email. This email includes their updated seat details and a fresh QR code reminder. Consequently, nobody shows up with the wrong ticket.
How the Automated Reminder System Works
The technical design behind these automated event email reminders is smart and reliable. Here is exactly how the system works from start to finish.
Admin enables reminders
You turn on reminders globally in Live Event Seating → Settings → Email Reminders. You can also enable or disable them per event.
WP Cron scans every hour
WordPress Cron quietly checks all upcoming events every 60 minutes. No server configuration is required.
Threshold matched → email sent
When an event hits the 7-day, 1-day, or 2-hour window, the plugin looks up all ticket holders and sends the reminder email.
Deduplication prevents repeats
Smart per-event metadata tracking ensures the same reminder is never sent twice — even if Cron runs multiple times.
Post-event email goes out
After the event ends (24+ hours later), thank-you emails go out automatically to all attendees.
The system also includes a generous ±1 hour tolerance window. Therefore, even if Cron runs slightly late, your reminders still arrive on time. This level of reliability is typically only found in dedicated email marketing platforms.
Admin Controls and Per-Event Override Settings
One size does not fit all. Sometimes you may want to disable reminders for a specific event. Perhaps it is a private gathering, or you are handling communications through a third-party tool. The plugin handles this gracefully.
Global Settings That Save Time
From the Live Event Seating → Settings → Email Reminders panel, you get a master toggle to enable or disable all automated emails at once. Moreover, you can enable or disable each reminder type individually. These settings are persistent and take effect immediately.
Per-Event Overrides for Full Flexibility
Each event edit page now shows a new 📧 Email Reminders metabox. Here, you can choose between three options for each email type: use the global default, force enable, or force disable. This gives you complete control without overcomplicating the interface.
What you can control
- Master on/off toggle for all reminders
- Individual toggles for pre-event, post-event, and transfer emails
- Per-event override: Use Global, Enable, or Disable
- Compatible with The Events Calendar, Events Manager, and native LES events
Beautiful, Branded Emails — Automatically
Your brand matters. That is why the plugin uses your WooCommerce mailer to send emails. This means every reminder looks consistent with the rest of your store’s communication.
Each email includes your brand logo (pulled from the plugin settings), beautiful HTML templates with gradients, and mobile-responsive design. Event details are populated dynamically — so you never have to edit a template.
Furthermore, all emails are fully tested for mobile rendering. Since most attendees check email on their phone, this is essential. Your reminders will look sharp and professional on every screen size.
If you are looking for more ways to improve your event workflow, consider pairing this feature with the seat transfer manager and the digital wallet pass integration — both part of the same plugin. Together, they create a modern, end-to-end event experience that attendees love.
